Five Proofreading Tips

When promoting your company through written word, it is extremely important to pay close attention to detail – especially spelling. Consumers often choose between competing businesses based on the text of the website, brochure(s) or other written collateral.Here are five proofreading tips to make sure your company’s written materials are accurate:
- Spell / Grammar Check – Almost all word processing programs come with Spell / Grammar Check, so use it. If a word is underlined with that squiggly line, check it. It’s important to note that it’s not always correct, but it will help you catch a few glaring errors.
- Google It – Not sure how to spell a word? Google it. Go to www.google.com and type the word into the search engine. When Google gives you the search results, it will also suggest an alternate spelling (e.g. Did you mean: spell check).
- Print Out a Copy – If the text isn’t too long, print it out and read the hard copy. Sometimes looking at a piece of paper as opposed to the computer screen can bring a typo to your attention.
- Read It Out Loud – Reading the text out loud can help you catch missing words, redundant language and missing punctuation.
- Come Back Later – Take a break and revisit the text later. Fresh eyes can help you spot something you missed.

I always leave m-w.com open on my computer for quick spell checks. Grammar Girl is a great resource (http://grammar.quickanddirtytips.com) and if something is truly important, i.e. a press release, I print it out to proof read.
